Members Present: Lois Foreman-Wernet, Mark Forman, Meg Ginther, Jurgen Pape, Kyle Morgan, Marilyn Sundin, Stephen Trumbull, Tom Carroll

Meeting started 7:05 PM 

Approval of Minutes: Meg moved and Marilyn seconded to approve the minutes of 11/4/09, as corrected.  The motion passed unanimously. 

Treasurer’s report: Marilyn distributed the budget report for 2009.  In reviewing the report, there was a discussion about Grant #09-7, the decision for which was pending until a legal ruling was received, about whether the Village of Granville can apply for funds from the GAC.  The funds have been earmarked and appropriated, awaiting the ruling.  Marilyn will follow up with Carie Kramer.  The GSVA still has 2 funded grants (#09-2 & #09-4) pending submission of invoices and final reports.  

Old Business:

The grant application form is being updated by Meg.  Marilyn requested to add the date of application.  A contact person responsible for invoices will be added.  Also to be added:  a statement that indicates that applications must be submitted 60 days prior to the opening of an event.  Meg will forward to Steve, who will put it into a form that can be completed totally online.  

Mark moved and Marilyn seconded that for the 2010 year, guidelines be amended to include a provision that applications for funding will not be considered if a previous approved application has not had a final report and invoices submitted.  The motion carried unanimously. 

Steve received the invoice and explanation of expenditures for the Thanksgiving Choir Workshop, Grant #09-10.  Lois noted that it would be helpful for the group to see the final reports. 

New Business:

GSVA sent information about next year's Art Affair event, to keep us informed.  Grand Scheme Promotions is sponsoring a design contest for a poster for this event. 

Grant Request #09-12:  The Strings in the Snow Violin Suzuki Program requests an amount of $500.00 for featured musicians' workshop fees.  Jurgen moved and Tom seconded to approve the request.  The motion carried unanimously. 

Grant Request #09-13: The GSVA requests an amount of $500.00 to assist in funding the Dream Worlds Art Exhibition.  Meg moved and Tom seconded to award $500.00 to GSVA in support of this event, to include exhibition supplies and materials or printing, but not for salaries.  Disbursement of funds cannot occur until previous invoices and final reports are submitted. 

For the next meeting, an agenda item will be to set meeting dates for the entire year.

Approval of Minutes: Minutes of 3/24/09 were approved unanimously.

Treasurer’s report: None.  Marilyn reported that there is no update from the last report. 

Old Business:

The grant application task force (Meg, Lois & Mark) reported on streamlining the grant application form by having applicants be able to select categories, thereby bypassing lines not pertinent to their request.  They also suggested listing specifics about what money will be spent for (which should make the later invoicing easier for all.)  Stephen will check with the village staff to find out what exactly they want shown in invoices and receipts.  The task force is likely to have specific recommendations ready to be voted on at the next meeting. 

New Business:

Stephen and others had some very positive responses about the recent art fair and GSVA show, both at the Bryn Du Mansion.  GAC had some good exposure at these and other events.  There was a brief discussion about closing more Granville streets for various events; Mark will check with the Granville Chamber on this idea.

Grant request # 09-5: The Granville Studio of Visual Arts (GSVA) requests a grant of $500 to cover costs associated with their Journey Gallery Summer Art Exhibit.  The GAC members discussed the somewhat ambiguous grant request.  Even though the request was viewed favorably, it was not clear from the application as to exactly what the money would be spent on and what the event date was.  Kyle moved and Marilyn seconded to approve grant # 09-5 for an amount up to $500 for the marketing of the opening event.  Some members thought that this might be too restrictive so the motion was amended to also cover costs for exhibition supplies.  The motion passed unanimously.

Mark asked whether any applicant could submit more than one grant application per year.  Since funding is per event, the answer is yes.  GAC would want separate grant requests for each event, though.

Stephen mentioned that GAC now has a blog at the Granville Sentinel site.

Stephen was approached by a graphic designer suggesting to make our website more graphic and flexible.  GAC thought this might be a good idea and suggested that Stephen get more specifics.

Stephen started some GAC discussion on how to handle grants for ecumenical services at Thanksgiving to cover-to-cover choral scores, performers and teachers to more engage local citizens.  This could also apply to other similar events.  GAC has given honorariums in the past and felt that this would fit our mission.

Lois moved and Meg seconded to allocate up to $500 for honorariums for strolling musicians during the farmers and makers markets.  The motion passed unanimously.

Mark wanted to know whether the “Blue Coats” could have a local presentation before going on tour, supported by GAC, such as their dress rehearsal.  There would be quite some community interest.  Marilyn will pursue this at Denison.

Meeting started: 7:00 PM

Approval of Minutes: The minutes of 2/18/09 were approved unanimously.

Treasurer's report: A statement was received for $180.00 for the first installment of Grant #08-4 for the Granville Teen Center (Spring into Art.)  Notice will be sent for disbursement of funds.

Old Business:

Steve reported that David DeCarolis, Granville Middle School Band Director, would serve as our liaison with the school district.  Contact information:  740.587.8104, ext. 4039 - Email: ddecarolis@laca.org

Steve had a discussion with Carol Phillips-Whitt about her last grant proposal that we are looking for benchmarks and goals, and what is to be accomplished with the funds, to aid in decision-making.  It was suggested that a statement to that effect be added to the grant application.  Meg, Lois and Mark will work on a set of written criteria.

Steve will include Chuck Peterson on the e-mail distribution list so that our meeting times are listed in the Sentinel.

New Business:

Grant request #09-4 from the Denison University Concert Choir was considered, to assist in funding the concert choir to hire instrumental musicians.  Help is needed due to budget cuts.  Mickey moved and Kyle seconded to approve $500.00 to be spent on professional fees for the hiring of musicians.   The motion carried with 6 for the motion, after Steve and Tom recused themselves because of their affiliation with the event.

Next Meeting: Tentatively scheduled for 7 PM on Thursday, April 16th, upstairs at the Village Hall.

Members Present: Steve Trumbull, Kyle Morgan, Marilyn Sundin, Mark Forman, Mickey Smith, Meg Ginther 

Guests Present: None 

Meeting started: 7:00 PM 

Steve welcomed new GAC members:  Mickey Smith representing the Township and Mark Forman, representing the Chamber of Commerce.  The new members were given an overview of the history and charge of the GAC.

Approval of Minutes: The minutes of 11/12/08 were amended and approved unanimously.

 Treasurer's report: A statement was received from Lee Hanford for $100 for two lectures at the library, Grants #08-3 and #08-3A.  The second talk will be given in April at the Library, but payment was requested now, since it comes from the 2008 budget.  Notice will be sent for disbursement of funds. 

Old Business:

There was a brief discussion about the idea to possibly recognize people in the community who are strong supporters of the arts.  Different categories could be proposed, such as individuals or organizations.  This program would not only benefit the recipients, but would also raise awareness of the GAC. The group will continue to develop this possibility over the coming year. 

New Business: 

Grant request #09-1 from Carol Phillips Whitt was considered. The request was to fund a marketing plan for the Whatever Works Art Space,

including:

1) Membership dues for the Chamber of Commerce for $110.00,

2) Fee for an ad to be placed in the new magazine, "Granville 43023" for $250.00, and

3) Funds for flyers and posters for $140.00.  There was concern that paying for membership dues is not appropriate.  Marilyn moved and Kyle seconded to

approve $390.00 for the second two items.   The motion carried with 5

for and one abstention. 

Grant request #09-2 from Kerry Dixon at the Granville Studio of Visual Arts was considered, to assist in funding the GSVA Studio and Gallery Grand.

Opening.  Kyle moved, and Meg seconded, to approve up to $500.00 to be spent on music, art supplies and/or invitations to the event.  The motion passed unanimously. 

Grant request #09-3 from Sandy Libertini and Melinda Moore from Grand Scheme Promotions, LLC was considered to assist in funding the Granville Art 

Affair.  Meg moved, and Mark seconded, to approve up to $500.00 to be spent on arts oriented programming and/or arts entertainment at the event.  The motion passed unanimously. 

Next Meeting: Tentatively scheduled for 7 PM on Tuesday, March 24th, upstairs at the Village Hall.
