Approval of Minutes:  Minutes of November 16, 2015 were reviewed.  Neal moved and Jodi seconded to approve with no corrections.  The motion carried.

 Treasurer's Report:  Marilyn distributed the budget report.  Mickey moved and Meg seconded to accept the report as corrected.  The motion carried.

Old Business:  

Grant #15-20:  St. Luke's requests $500.00 for the organist and accompanists for a sing-along of The Messiah as part of the Candlelight Walking Tour.  Lois moved to award $250.00 for this request.  Meg seconded, and the motion carried unanimously.

As representative of the Bryn Du Commission, Jurgen provided an update on the status of the Granville Studio of the Visual Arts (GSVA,) which is dissolving.   Jeff Brown, superintendent of Granville Schools, has indicated that he is interested in providing more arts education.  Programs at GSVA were expensive and therefore prohibitive for many students.  At the Bryn Du meeting, it was decided to hold a meeting at the mansion in early Spring, to discuss the future of the arts in Granville.  This meeting would include all interested parties, such as the Bryn Du Commission, Granville Schools, Granville Arts Commission, Granville Recreation Commission, Denison, Senior Center, and Robbins Hunter Museum.  Neal suggested that a working group be formed, to identify ideas and a plan of action.  The group agreed that this group could be formed after the initial meeting.

New Business:  

Grant #16-01:  Denison's Susuki program requests $600.00 to compensate visiting performers and instructors for their Winter Festival.  Mickey moved and Tom seconded to approve.  The motion carried unanimously. 

Jurgen presented the Annual Report to be submitted to the Council.

Jurgen presented a proposal for the GAC 2016 budget, and Neal distributed an alternative proposal which allows for more discretionary funds.

Jodi Melfi suggested that members make an effort to identify artists and programs that could apply for grants next year, and bring ideas to the next meeting.

Meetings:  Meetings will continue to be scheduled on the 3rd Monday of each month.  Next meeting is January 18th, 2015 at 7pm in the Village Offices.  Upcoming meetings are Feb. 15 and Mar 21.

Approval of Minutes:  Neal moved and Tom seconded to approve the minutes of the October 19, 2015.  Motion carried.

Treasurer's Report:  Marilyn handed out the latest report.  $9,421.00 have been approved for 2015; invoices for $7,269.35 have been submitted.  Marilyn will contact the three approved grant recipients who have not submitted their invoices to do so before the middle of December so they can be paid.  Meg move and Tom seconded to accept the treasurer’s report.  Motion carried.

New Business:  

Maggie Sobataka has regretfully resigned from the Granville Arts Commission as a community-at-large member because of her planned move.  Jurgen contacted Mollie Prasher to post a replacement for her.  Laurie MacKenzie-Crane has indicated an interest in that position.

Due to the fact that the Granville Studio of Visual Arts (GSVA) has decided to close as of December 1, 2015, several parties are interested in continuing or resurrecting it.  Discussions were conducted at the Bryn Du Commission (the GSVA has been leasing one of the buildings on the mansion site) and with various members of the Granville Village staff.  The Bryn Du Commission decided not to take over the GSVA because of their present confusing financial status.  The Bryn Du Commission, the Granville Village and the Granville Arts Commission are all interested to replace the GSVA in some form.  Jurgen has contacted the Granville school board to find out their interest in GSVA as well as applying for GAC grants.  We discussed several options; one was whether the Granville Recreation District could possibly oversee the operation.  Jackie will contact Steve Stilwell and Mike King regarding this idea.  We discussed various potential art venues and centers.

Neal moved and Meg seconded to not the Granville Arts Commission’s interest to continue the GSVA in some form or other and possible expand to other art programs.  The motion carried.

New Business:  

Grant #15-17:  The First Presbyterian Church requests $1000.00 to offset the expense of a new composition for the “Journey of Seasons” for their concert series.  Meg moved and Kyle seconded to approve.  The motion carried. 

Grant #15-18 – The Granville Historical Society requests $150.00 to purchase art supplies for the making of holiday decorations by community members as part of the Candlelight Walking Tour.  Marilyn moved and Mickey seconded to approve the request.  The motion carried.

Neal put forth the idea of pursuing Capability Funds from the Ohio Arts Council, which could further our vision for the future, but first we need to decide what that vision is.  The group will be thinking about ideas on this topic to be discussed at the next meeting.

Marilyn will once again approach “Ladies Night Out,” a choral group from Denison, to perform at the Candlelight Walking Tour.

Announcements:  Marilyn plugged the upcoming Licking County Players performance of Arsenic and Old Lace, in which she will be appearing.

Meetings:  Next meeting is November 16, 2015 at 7pm in the Village Offices.  Upcoming meeting is December 14, 2015.

Approval of Minutes:  Minutes of July 20, 2015 were reviewed.  Neal moved and Mickey seconded to approve the minutes as amended.  The motion carried.

Treasurer's Report:  Marilyn distributed the budget report.  Maggie moved and Neal seconded to accept the report as presented.  The motion carried.

Old Business:  

Jurgen has made an inquiry about the low participation in the fiddle contest, and found that the event was not publicized as well as it might have been.  It will be promoted more broadly next year.  This information was sent in an e-mail message, which will be re-circulated.

Jackie spoke with the Council about Grant # 15-09 concerning awarding of funds to Grand Scheme Production which is a for-profit business.  This point was discussed when the funds were requested, and because the money was to be used to pay for musician fees, it was approved.  This type of award has been made in the past.  Jackie stated that the Council is aware of the situation and agrees with the approach that was taken.

Regarding Grant #15-13, Mickey and Jurgen spoke with the Senior Center, and it was agreed to withdraw the application since the space is rented, and there are more affordable ways to display art.

At the next Council meeting, Jackie will ask about noting the GAC meetings on the Village website.

New Business:  

Grant #15-15:  The GSVA requests $500.00 for artist labor and supplies, and printed materials for the Summer Exhibition of the Spring '15 Journey show.  Kyle moved and Jodi seconded to approve.  The motion carried.  It was noted that this comes to $1500.00, the total allotment for GSVA.

Grant #15-16 – The Granville Federation for the Advancement of the Blues (GFAB), requests $1,000.00 to  offset the costs of staging the the annual Blues Fest.  Neal moved and Lois seconded to approve the request.  The motion carried.

Announcements:  There will be a Food Truck and music festival at Dawes.

Meetings:  Next meeting is Sept. 21, 2015 at 7pm in the Village Offices.  Upcoming meetings are   Oct. 19 and Nov. 16, 2015.

Old Business:  

Jurgen will follow up to see how the funds were spent for the Kiwanis Fiddle Contest since there were so few participants.

Council had a question about Grant # 15-09 concerning awarding of funds to Grand Scheme Production which is a for-profit business.  This point was discussed when the funds were approved, and because the money was to be used to pay for musician fees, it was approved.  This type of award has been made in the past.  Jackie will take this information back to Council.

New Business:  

Grant #15-11:  The Granville Garden club requests $850.00 for the 2016 Daffodil show for the artist's honorarium and printing costs for a poster, and for decorative materials used in displays.  Mickey moved and Jodi seconded to approve.  The motion carried.

Grant #15-12 – Jonathan Hubert, a Denison student, requests $1,000.00 to cover remaining fees for him to attend a 5-week program at the Berklee College of Music in Boston.  Kyle moved and Neal seconded to deny the request.  The motion carried.

Grant #15-13 – The Granville Senior Center requests $500.00 to purchase and install a professional picture hanging system at the center, to be used for the hanging of art by members and for rotating art shows.  Neal moved and Maggie seconded to table the motion to gather more information such as how many pieces of art will be displayed, how many shows are expected, and how often.  It will also be suggested that perhaps a less expensive alternative might be considered.  The motion carried.

 

Grant #15-14 – The Vintage Voices requests $250.00 to purchase music for the 2015 Candlelight Walking Tour performance.  Maggie moved and Neal seconded to approve.  The motion carried.

Jurgen has requested that GAC meetings be noted on the website along with other commissions, now that they follow a reqular meeting pattern (third Monday of each month.)

Neal reported on the Ohio Arts Council summer meeting and the Council’s awards to local groups. He suggested that GAC consider supporting a local project and apply for funding. He said many other similar arts councils/commissions have been successful doing so.

Lois suggested that the GAC take advantage of the new lampost banners in the downtown area, as a way of raising awareness of the commission.

 Approval of Minutes:  Minutes of March 26, 2015 were reviewed.  Lois moved and Marilyn seconded to approve the minutes as amended.  The motion carried.

 Treasurer's Report:  Marilyn distributed the budget report.  The grants for the Suzuki Winter Festival and the Youth Orchestra are still awaiting receipts.  Marilyn reported that thank you notes have been received from Bryn Du and Lt. Luke's.

Old Business:   Jodi will make a small modification to the format of the grant application on the website.

New Business:   Jurgen reported that the Bryn Du Commission is looking ahead to renovations, including the extraordinary barn, which has excellent possibilities for the arts.

Grant #15-10:  Kiwanis requests $1,000.00 to provide prize money, ribbons and plaques, judges fees and/or promotional materials for a fiddling contest.  Lois moved and Jodi seconded to approve.  The motion carried.

Old Business:  Marilyn moved and Kyle seconded to put Grant #15-05 back on the table.  The motion carried.

Grant #15-05 - The Granville Rotary requests $500.00 to defray payment to musicians for the "Rotary Taste of Granville" event.  Neal moved and Mickey seconded NOT to approve.  The motion carried.

Mollie Prasher was consulted about replacing Ron Abram on the commission, and it was suggested that we may consider increasing the number of At-Large members.  The group decided that it was not necessary.

New Business:  

Grant #15-06 - The Granville Garden Club requests $275.00 for materials for the installation of the Daffodil Show.  Meg moved and Lois seconded to adjust the amount to $125.00 and approve the grant.  The motion carried.

Grant #15-07 – The GSVA requests $500.00 for artist fees, supplies and promotional materials for the Spring 2015 Journey Exhibition.  Neal moved and Kyle seconded to approve.  The motion carried.

Grant #15-08 - St. Luke's Church requests $450.00 for artists fees for their concert series.  Maggie moved and Mickey seconded to approve.  The motion carried.

Grant #15-09 - Grand Scheme Promotions requests $1,000.00 to pay for four professional musical groups for the Granville Art Affair & Wine Festival.  Mickey moved and Meg seconded to adjust the amount to $500.00 and approve.  The motion carried.

Marilyn noted at a previous meeting that she has several notebooks with documentation of all commission proceedings.  Jurgen indicated that Molly Prasher suggested these items be stored at the Village Offices.

Meetings:  It was decided that regular meetings will be held on the 3rd Monday of each month beginning in June.  Upcoming meeting dates:  Wednesday, April 22, May 13, June 15 at 7pm in the Village Offices.

 Approval of Minutes:  Minutes of January 15, 2015 were read.  Jurgen moved and Lois seconded to approve the minutes as corrected.  The motion carried.

 Treasurer's Report:  Marilyn reported that there has been no change to the budget since last month.   There is a total of $2,000.00 committed to previously approved grants.  Lois moved and Jodi seconded to accept the treasurer’s report.  The motion carried.

 Old Business:

Jurgen noted that the Vintage Voices was added to the yearly working budget, for $350.00, and he will make the update.

Jurgen talked with Jackie and Steve Stilwell about Ron Abram's membership.  He was contacted to let him know that he will be dropped as a member, due to lack of attendance.

Jodi reported that the website is live at www.granvillearts.org, and Jurgen will be sure that it is advertised once the membership has been corrected, eliminating Ron Abram.

New Business:  

Grant # 15-04  - Bryn Du requests $1,000.00 for the 2015 Bryn Du Art Exhibition for the juror, supplies and promotional materials and awards/prizes.  Kyle moved and Jodi seconded to approve.  The motion carried.

Grant #15-05 –  The Granville Rotary requests $500.00 to defray payments to musicians for the Taste of Granville event.  Jurgen moved and Lois seconded to table for further discussion at the next meeting. 

 Marilyn noted that she has several notebooks with documentation of all commission proceedings.  Jurgen will contact Molly Prasher to determine exactly what should be retained and where the information can be stored.

 Approval of Minutes:  Minutes of Nov. 20, 2014 were distributed.  Neal moved and Tom seconded to approve the minutes as amended.  The motion carried.

 Treasurer's Report:  Marilyn distributed the budget report.  She noted that Grant #14.10 was reassigned to #15.01, and #14.13 was reassigned to #15.02 since both will take place in 2015.  After we received a $39.00 reimbursement check, we were just under budget for last year.  Lois moved and Jodi seconded to accept the treasurer’s report.  The motion carried.

 Old Business:

Members suggested several changes for the website, which Jodi will incorporate.   Once updated, the website will go live, and Jurgen will be sure that it is advertised.

 New Business:  

Jurgen put forth a budget for the year, and it was noted that the amount allocated to GSVA made up one fourth of the total budget.  There was discussion on a possible limit for one organization to receive.  Neal moved and Kyle seconded to accept the budget projection proposal as amended as our working document for this year.  The motion carried.

Grant # 15.01 –  GSVA requested $500.00 for the Fall Journey Program.  Marilyn moved and Jurgen seconded to approve.  The motion carried.

Grant #15.02 –  The Newark/Granville Orchestra requested $1,000.00 for the Youth Orchestra.  Marilyn moved and Lois seconded to approve.  The motion carried.

 Grant # 15.03 –  The Denison Suzuki program requests $1,000.00 for artists fees.  Neal moved and Kyle seconded to award $500.00 which was the GAC budgeted amount.  The motion carried.

 Meetings:  3rd Thursday of each month.  Upcoming dates are:  March 19, April 16, May 21 at 7pm in the Village Offices.
