Meeting Started:  7:05pm

Approval of Minutes:  Minutes of June 12, 2017 were reviewed.  Marilyn moved and Neal seconded to approve the minutes as corrected.  The motion carried.

Treasurer's Report:  Marilyn distributed the treasurer’s report.  Kyle moved and Jodi seconded to accept the treasurer’s report.  The motion carried.

Old Business

Arts Collaborative update:

Jodi reported that she met with Meg, Steve Matheny and Angela Katona to give statistics and demographics in support of the grant.  Things are moving forward appropriately.

Jurgen reported that the Bryn Du Mansion Commission has officially been named as the fiscal agent for the Collaborative.  He will speak with Mollie to arrange for the transfer of GAC money to the Collaborative for the consultant.  Neal moved and Marilyn seconded to approve this arrangement.  The motion carried.

Laurie MacKenzie-Crane will be appointed to the GAC on July 19.  Laurie was welcomed by the group.

Grant #17.13:  Columbus Crossing Borders requests $1,000.00 for artists’ fees and supplies for a 2-day event with an art exhibit and documentary film to inspire understanding, compassion and support for refugees.   Marilyn moved, and Jurgen seconded to put this request back on the table from last month.  Neal moved and Lois seconded to deny the request since the main focus is educational rather than artistic and therefore does not fit with the mission of the GAC.

New Business:  

Grant #17.15:  Micaela Vivero requests $750.00 for airfare to France for research for her art show at Denison next year. Lois moved and Kyle seconded to deny the request, since it does not fit with the mission of the GAC.  The motion carried unanimously.

Meetings:    Next meeting is August 14, 2017 at 7pm in the Village Offices.  Upcoming meetings are September 11 and October 9, 2017.

Old Business

Arts Collaborative update:

Meg reported that Karin and Candi submitted the grant application for $5,000 to the Ohio Arts Council by the deadline.  

Alyssa and Meg are working on the RFQ (Request for Qualifications) which will go to a number of consultants to determine who is interested.  They hope to have a consultant decided upon by September.

The Collaborative has been awarded a $10,000 grant from the Granville Community Foundation for creating a Cultural Arts plan. In addition, Bryn Du has allocated $1,000 from their own 2017 budget for hiring a consultant.  The Granville schools pledged $2,000.  Grand total – $15,000 already allocated with anticipated additional $5,000 from Ohio Arts Council. (Meg updated this information just after the meeting.)

Arts Awards Committee update: 

The committee met on May 11th to decide on the winners, and names were immediately given to Jodi to create the certificates, which were delivered to the high school for the Awards Ceremony on May 16. (Thank you, Jodi!)

On May 17, at the Village Council meeting, LARGE checks were presented to Madison Koester, for Visual Arts.  Haley Russell, the winner of the Performing Arts award, was unable to attend. 

The article appeared in the Sentinel, with a photo.  Next year the article should include the names of all nominees.

The committee met again on May 23rd to discuss plans for next year.  The group agreed that we should continue with the same three members to serve on the awards committee, and to make the final selections.   Next year it will be considered to make writing another category.  It was also agreed to make the awards available only to seniors at Granville High School.  Kudos to Neal and Mickey for serving now and later, and to Kyle for heading up the committee.

New Business:  

Grant $17.13:  Columbus Crossing Borders requests $1,000.00 for artists fees and supplies for a 2-day event with an art exhibit and documentary film to inspire understanding, compassion and support for refugees.  Mickey moved and Wayne seconded to table this decision until the next meeting when we will further discuss the legality or feasibility of spending public money on an event that can be politically charged.

Grant #17.14:  The Kiwanis Club requests $1,000.00 forthe 4th of July Photography Exhibit for honoraria for photographers for printing, framing and labeling of photos and also for awards and prizes.  Mickey moved and Neal seconded to award $700.00 which is what we had originally budgeted for this event.  The motion carried unanimously.

Ann Townsend has indicated that she can no longer continue on the commission.  Jurgen will contact Kim Coplin to appoint another representative for Denison.

Jackie reported that “Pianos on Parade” was approved.

Meg noted that the last two Art Walks have been very successful.

Kyle commented that the Volunteer Reception at Bryn Du was very nice, and much appreciated.

Old Business

Arts Collaborative update:  Meg reported that the planning committee has formed two committees, working on the RFQ for a consultant and also a grant from the Ohio Arts Council.   Meg and Alyssa Smith are preparing the RFQ, and Candi Moore and Karin Dahl are working on the online application for the OAC grant.

The Collaborative was awarded a $10,000 grant from the Granville Community Foundation for creating a Cultural Arts plan.  Bryn Du will act as the fiscal agent.  

Arts Awards Committee update: 

Kyle and Mickey met with teachers on April 12th.  Jennifer Kinsley (C-TEC Art),  Kristen Snyder (Music),  Sarah Nobette (Art) were in attendance.  They were very enthusiastic, and suggested that we develop an application and they would invite only worthy students to apply.

Jurgen, Kyle and Neal met on April 20th to discuss points made in the meeting with the teachers and develop an application.  It was decided to ask two open-ended questions about what art means to them, and the role of art in our community and society.  A list of artistic endeavors will also be submitted, along with optional recommendations from the teachers.

Kyle contacted Brandi Cooper about the awards night, and she said that our certificates could be given to the winners at the Senior Awards night on May 16.

Applications were due today, May 8th, and the committee is set to meet on Thursday to decide the winners.  Jackie indicated that the next council meeting is May 17, and Kyle will contact Mollie to get on the agenda to award the LARGE checks (11” X 17”).  Kyle will contact Craig McDonald from the Sentinel.

New Business:  

Grant #17.10:  The Village of Granville requests $500.00 for a program called “Pianos on Parade.”  This program places artistically transformed and refurbished pianos in public places for residents to play and enjoy.  Meg moved and Wayne seconded to award $500.00.  The motion carried unanimously.

Grant #17.11:  This number is assigned to allow for the funds for two art awards (totaling $1,000.00) to be released.

Grant #17.12:  This number is assigned to allow for $150.00 to be released to Jodi Melfi for website expenses.  Marilyn moved and Neal seconded to approve this expense.  The motion carried unanimously.

Jurgen indicated that he asked Molly to add the GAC to the list of monthly meetings on the village website.

Approval of Minutes:  Minutes of February 13, 2017 were reviewed.  (The March meeting was cancelled.) Jodi moved and Meg seconded to approve the minutes as corrected.  The motion carried.

Treasurer's Report:  No Treasurer’s report.

Old Business

Arts Collaborative update:  The planning committee met on April 4th.  The RFQ for a consultant will be out by the end of April so that selection can happen this summer. 

The Collaborative has applied for a $10,000.00 grant from the Granville Foundation, and it was decided that Bryn Du will act as the fiscal agent.  They will also apply for a “start-up” grant from the Ohio Arts Council, with a deadline of June 1st.  

Dan Moder, Executive Director of Explore Licking County was present to share how they are organized, who makes decisions, etc.  They were excited to hear about the goals of the Collaborative, and would like to partner when possible.  Next year’s issue of the Travel and Tourism Guide will be devoted to the Arts.

Arts Awards Committee update:  Kyle, Jurgen and Mickey met on March 28, 2017.   The purpose of the awards is to honor and encourage young artists in our community.

For this first year, it was decided to award $500.00 each to two Granville High School seniors - one for visual arts and one for performing arts.

The committee will meet with the art, music and drama teachers soon to discuss the details and seek their input.

The plan is to have the mayor present the checks and certificates to the winners at a Village Council meeting. This would enable the other council members to see the GAC appropriation at work and further buy in to what we are achieving. The Granville Arts Commission “Outstanding Achievement Award” to deserving GHS students hopefully will make everyone proud and get appropriate media recognition.

Jodi Melfi, of the GAC, will be asked to create certificates to accompany the monetary award.

The goal is to also honor the students at the awards ceremony at the high school in the spring.  Jurgen will contact Jeff Brown to see when the ceremony is scheduled.

When it is determined which Village Council meeting will include the presentation, Kyle will contact Craig McDonald at the Sentinel.

New Business:  

Grant #17.08:  Denison University requests $1,000.00 to support the hiring of additional musicians required to augment the Denison University Wind Ensemble to perform the Berlioz Grande Symphonie.  Wayne moved and Meg seconded to award $500.00.  The motion carried, with 7 for and 2 opposed.

Grant #17.09:  The Granville Area Chamber of Commerce requests $300.00 to compensate up to 3 musical performance acts per month for the months of May, June and July, 2017 for the monthly Art Walks.  Lois moved and Wayne seconded to award $500.00.  The motion carried, with one abstention.

Treasurer's Report:  Marilyn distributed the treasurer’s report.  The corrected amount for 2017 is $12,000.00.  Mickey moved and Wayne seconded to accept the treasurer’s report.

Old Business

Collaborative update:  Jurgen read the highlights of the draft minutes of the meeting on Feb. 4th. About a dozen GHS students with the help of some DU faculty and students will develop Request for qualifications for consultants.  There is about $10,000.00 in committed funding, some in-kind, for a consultant.  The suggested mission statement of the collaborative is:  “To advocate and promote arts culture in the Granville community.  Some art communities are still expected to be visited.  The next joint meeting is planned for April.  Meg will be sending the minutes to the entire list soon.

New Business:  

Grant Request #17-07: Bryn Du Art exhibit was briefly discussed.  Similar events had been approved in previous years.  The request for up to $1,000.00 was approved by 4 in favor and one abstention.

Arts Award program:  Jurgen has a list of art teachers from the Granville School District.  Before they are contacted, we will have a discussion about criteria for the awards and other specifics. Since this is a new venture, there are many issues that need to be identified.

Approval of Minutes:  Minutes of December 12, 2016 were reviewed.  Jodi moved and Lois seconded to approve the minutes as corrected.  The motion carried.

Treasurer's Report:  No report.  Note:  $600.00 has been committed for Grant #17.01 for 2017.

Old Business

Grant # 17.02 and 17.03 were submitted in December for monthly Art Walks.  Both were denied, and Jurgen contacted the Chamber to suggest that they apply for one annual grant request.

Granville Arts Collaborative update:  Meg reported that the Planning Committee will meet soon.  Dan Katona, of the Ohio Arts Council shared a list of 50 names to consider in the hiring of a consultant.  At the meeting, the committee will whittle down the list, decide on what criteria will be used for selection, and then begin to schedule interviews.  Jodi reported that the Communications Committee will meet soon to develop a mission statement and tag line.

New Business:  

Grant #17.04:  The Granville Area Chamber of Commerce requests $900.00 for fees to compensate musicians planned for monthly Art Walks (February, March and April).  Wayne moved and Meg seconded to award the grant in the amount of $300.00.  The motion carried with one abstention.

Grant #17.05:  This number was assigned to cover the $2,000.00 allocated to assist in hiring a consultant for the Granville Arts Collaborative.

Grant #17.06: The Bryn Du Arts Center requests $570.00 for compensation for printing costs and the organization and installation of a student art show reception to be held in conjunction with the Art Walk for February.  Marilyn moved and Jodi seconded to approve $400.00 for this grant.  The motion carried.

Jurgen distributed a copy of the 2016 annual report and asked for comments.  This document will be presented to the Village Council.

Jackie reported that Keith Myers from the Bryn Du Commission and Todd Naille from the Granville Recreation district will meet with representatives from the Council and Township to discuss the relationship between Bryn Du and the Rec. Commission.  In 6 months, they will report back to Council.

Announcements:  Neal sent a message to the group with details about a webinar on writing effective proposals offered by the Ohio Arts Council.
